Online Session Chair | Guidelines

Thank you for chairing a session at the 2021 eResearch Australasia Conference

The following guidelines and resources are designed to assist with your preparation and participation in chairing your session.

Oral presentations will consist of a 15 minute pre-recorded presentation, followed by 5 minutes live facilitated Q&A with the presenter. Generally, sessions will include 4 oral presentations grouped together.

Lightning Talk sessions will consist of 5-minute pre-recorded presentations played back to back, followed by group Q&A in a virtual chat room. In the chat room, presenters and delegates will have their microphone and camera available for use.

HOW WILL THE SESSION RUN – ORAL PRESENTATIONS

Please join your session 30 minutes prior to the commencement time to meet with your session host and the presenters in your session. Your session host will run through the sequence of proceedings for your session and conduct a technology check with you and the presenters prior to the session going live promptly at the programmed time.

To ensure the program keeps to time, please limit Q&A to 5 minutes per speaker. 

Opening the session:

  • Welcome delegates to the session and introduce the first presentation with the presentation title, presenter name and short biography.
  • Remind delegates to put any questions they have for the presenters in the Live Q&A box to the right of their screen.
  • Your session host will then play the first pre-recorded presentation.

During the session:

  • At the conclusion of each presentation, the session host will push you and the presenter to the main stage where you will facilitate the live Q&A discussion. It is a good idea to have a question or two of your own in case there are none forth coming from the audience.
  • To ensure the program keeps to time, please limit Q&A to 5 minutes per speaker.
  • Following Q&A, please introduce the next speaker with their presentation title, presenter name and a short biography.
  • Your session host will then play the next pre-recorded presentation.

Closing the session:

  • At the top of your screen you will see a countdown clock which will assist you in knowing when the session is due to end.
  • We recommend wrapping up the final presenter Q&A when there is roughly one minute left on the clock. This will allow enough time for you and the presenter to finish your discussion, and make closing remarks and thanks.
  • Once the countdown clock has finished the session will no longer be live. Your session host will end the broadcast and you will be able to leave the session and continue with your day!

Please note: your session host will be in charge of playing the pre-recorded videos and pushing you to and from the main stage for introductions. 

HOW WILL THE SESSION RUN – LIGHTNING TALKS

Your session host will run through the sequence of proceedings for your session and conduct a technology check with you and the presenters prior to the session going live promptly at the programmed time.

Opening the session:

  • Welcome delegates to the session.
  • Remind delegates they are welcome to enter any questions they have for the presenters in the Live Q&A box to the right of their screen, and that there will be a Q&A session following all presentations in a virtual chat room, where everyone’s camera and microphone will be available.
  • Your session host will then play the pre-recorded presentation videos back to back.

During the session:

  • At the conclusion of the last presentation, the session host will push you to the main stage so you can let delegates know that the session is now moving to a live Q&A chat room.
  • Once you have made this announcement, the session host will create the chat room.
  • Session chairs and presenters can enter the chat room once delegates have started to enter.
  • Once in the room, please ask delegates to use the “raise hand” function at which point you can identify the person to ask their question.
  • The live Q&A session will run for 20 minutes, or until no further questions are forthcoming.

Closing the session:

  • Once the Q&A session has been wrapped up, please thank the presenters and delegates and and make any closing remarks you may wish to add.
  • Once the session is finished, your session host will end the broadcast and you will be able to leave the session and continue with your day!
