2021 BoF Session | Guidelines

Thank you for delivering a BoF Session at the 2021 eResearch Australasia Conference

We want to ensure your BoF Session runs smoothly.
The following guidelines and resources are designed to assist with your preparation and participation.

Birds of a Feather Sessions (BoF Sessions) will be LIVE sessions, 40, 60, 80 or 90 minutes in duration delivered via Zoom meetings.

All BoF Session Conveners and Presenters are required to register for the eResearch Australasia conference and pay the appropriate registration fee.

  • Zoom meeting details will be linked to the Conference OnAIR portal (the online conference portal), allowing people to easily join your session and navigate between other activities.
  • The Conference Managers will email the BoF convener a Zoom meetings link prior to the conference.
  • BoF sessions will commence via Zoom Meetings at the advertised session start time and run for your designated amount of time.
  • At the time of the session, a member of the support team will start the meeting then transfer hosting to the primary convener.
  • Once the session is under way, conveners and presenters can deliver their content as per their agenda via Zoom meetings.
  • Standard features of Zoom will be available for all BOF Sessions (presenters and delegates) including:
    • View Participants
    • Chat
    • Share Screen
    • Breakout Rooms
    • Live Polling
  • At the conclusion of the BOF Session, presenters can go back to OnAIR Conference portal and participate in the conference as usual.
  • The Zoom meeting will be recorded and made available via the OnAIR portal for “on demand” viewing for 3 months after the conference.

BEFORE THE CONFERENCE

We recommend BoF Conveners plan and prepare for all aspects of their BoF. Consideration should be given to:

  • Presenter’s experience with presenting online and functionality such as screen sharing if presenting slides.
  • The order of presentations, and who will be facilitating the session.
  • Timekeeping. BoF sessions will end sharply at the programmed time, hence careful time keeping is important.
  • Who will manage Live Q&A and Discussion during the session.

DURING THE CONFERENCE

Please join your session 15 minutes prior to the commencement time.

  • BoF sessions will go live to the audience via Zoom meetings at the advertised session start time.
  • A member of the support team will start the meeting then transfer hosting to the primary convener.
  • Once the session is under way, conveners and presenters can deliver their content as per their agenda via Zoom meetings.
  • At the conclusion of the BoF Session, presenters can go back to OnAIR Conference portal and participate in the conference as usual.

LIVE SUPPORT

  • OnAIR Live Support Hub: live support is immediately accessible via the icon at the top of the online conference portal. Users should log their query in the live support chat box and a team members will respond as quickly as possible.
