Leveraging our licences: creating automated transcription solutions from enterprise platforms

Abstract
As research has rapidly moved online there has been an increasing need for additional tools to meet the changing requirements of digital research data collection and analysis. At Sydney we realised there was a need for inexpensive automated transcription solutions that complied with our data research management policy. Our researchers have been able to find products being marketed to fill this need, but most failed to maintain data sovereignty and protect privacy.
Our existing platforms already had automated transcription features but were not adequately configured for research purposes. The Research Portfolio funded a project to develop an inhouse solution that leveraged our existing enterprise licenses to develop appropriate functionality for research involving highly protected data.
ICT conducted a review of available options, and two solutions were identified. These utilised an existing system (Zoom) and a system in the pipeline (Highly Protected SharePoint). The Zoom transcribe/caption feature for real time transcription was reconfigured for research use, and a protocol developed that utilised MS Stream in conjunction with our new Highly Protected SharePoint to transcribe pre-recorded content. Both these options underwent privacy and cybersecurity review and were deemed to be cost effective, secure and be quick to implement.
We are expecting this tool to be rapidly adopted by our researchers conducting interviews, focus groups and observations. Our ethics administration team and HRECs have been integral in identifying this gap and reviewing proposed solutions. We created an efficient and cost-effective solution where few suitable market options exist.
